The payment and cancellation terms shown in your accepted quotation form part of your booking. Where a lodge, airline, farm, park, conservancy or other supplier applies stricter conditions, those conditions will also apply.
1. How a cancellation is recorded
All cancellation requests must be sent to Farmers Agro-Safaris in writing by the lead traveller, the person who made the booking, or an authorised travel organiser. Email is the preferred method.
The cancellation becomes effective on the date we receive the written request during our normal business operations. Charges are calculated from that date, not from the date the message was drafted or sent.
2. Standard cancellation charges
Unless your quotation states different terms, the following charges apply to the total confirmed trip price:

Deposits already paid are applied towards the cancellation charge. Where the charge and confirmed non-refundable costs are lower than the amount received, the remaining refundable balance will be calculated and returned.
3. Peak seasons and non-refundable arrangements
Some parts of an agro-safari must be paid for in advance and may become non-refundable immediately after confirmation. These can include accommodation during peak periods, domestic flights, private farm visits, exclusive-use properties, park or conservancy permits, event tickets and specially arranged activities.
During high-demand travel dates or special events, a cancellation may attract a charge of up to 100%, even when notice is given early. Any special terms known at the time of booking will be stated in your quotation or confirmation.
4. Changes requested by the traveller
Requests to change travel dates, destinations, accommodation, activities, traveller names, rooming arrangements or group size must be made in writing. We will make reasonable efforts to revise the booking, subject to availability and supplier approval.
You are responsible for any price difference, amendment fee or supplier penalty created by the change. A substantial alteration may require the original booking to be cancelled and a new booking to be made under the rates and conditions available at that time.
5. No-shows, late arrivals and unused services
No refund is normally provided when a traveller does not arrive, joins the trip late, leaves before the itinerary ends, or chooses not to use an included service or activity.
Where practical, our team may help rearrange an affected service, but any additional transport, accommodation, permit, ticket or supplier cost will be payable by the traveller.
6. Changes or cancellation by Farmers Agro-Safaris
Safari and farm-based travel can be affected by weather, road conditions, wildlife movement, farming operations, safety considerations, government directives, conservation rules and supplier availability. We may therefore adjust the route, timing, accommodation or activity where reasonably necessary.
When a significant confirmed service cannot be delivered, we will first try to provide a suitable alternative of comparable purpose or value. Where no reasonable alternative is available, we will address the recoverable value of the affected service in line with the booking agreement and the relevant supplier’s terms.
7. Events beyond reasonable control
Farmers Agro-Safaris is not responsible for losses caused by circumstances outside our reasonable control, including severe weather, natural disasters, epidemics, border restrictions, civil disturbance, strikes, transport disruption, government action or unexpected closures.
Depending on the circumstances and supplier rules, available options may include rescheduling, a travel credit, substitute services or a refund of funds actually recovered from suppliers. Unrecoverable costs and reasonable expenses already incurred may be deducted.
8. Refund calculation and processing
Any approved refund is calculated after applicable cancellation charges, non-refundable supplier payments, amendment costs and payment-processing expenses have been confirmed.
Refunds are normally made through a traceable payment method. Bank fees, card charges and exchange-rate differences may affect the final amount received. Processing may also depend on how quickly third-party suppliers return recoverable funds to us.
9. Travel insurance
We strongly recommend purchasing comprehensive travel insurance as soon as your booking is confirmed. Your cover should include trip cancellation or interruption, medical treatment, emergency evacuation, baggage loss and the activities listed in your itinerary.
Insurance claims must be submitted directly to the insurer. Farmers Agro-Safaris can provide booking records or cancellation documents reasonably required to support a valid claim.
10. Requesting a cancellation or change
Send your request using the contact details shown in your quotation. Include your booking reference, lead traveller’s name, departure date, the change you are requesting and any information that may help us review the request promptly.
For time-sensitive requests, please do not rely only on a social-media message.
