Farmers Agro-Safaris provides safari planning, agro-tourism experiences, farm and community visits, accommodation arrangements, transport, transfers, guided activities and related travel services. For personal information that we decide how and why to process, Farmers Agro-Safaris acts as the data controller.

- submit an enquiry, contact form or itinerary request;
- ask us to prepare a quotation or reserve travel services;
- make, manage, amend or cancel a booking;
- join a safari, farm visit, community experience or other arranged activity;

Please do not send full payment-card details, passwords or unnecessary identity documents through an ordinary contact form or social-media message. Use the secure or specifically requested channel provided for the relevant transaction.
4. Where personal information comes from
We usually receive information directly from you. We may also receive it from:
- the lead traveller, parent, guardian, employer, school, travel agent or group organiser making arrangements for you;
- hotels, lodges, airlines, transport operators, guides, farms, conservancies, parks, community hosts and activity providers;
- payment providers, banks or accounting systems confirming a transaction;
- website analytics, hosting, security and communication platforms;
- publicly available sources where reasonably necessary to verify business or travel information; and
- government, immigration, conservation or regulatory bodies where information is lawfully provided or required.
If you provide information about another traveller, you should have their authority to do so and should make this policy available to them.
5. Why we use personal information
We use personal information only where there is a valid reason to do so. The applicable reason depends on the activity and may include performing a contract, taking requested steps before a contract, complying with law, obtaining consent, protecting vital interests or pursuing a legitimate business interest that does not unfairly override your rights.

If information is required to complete a booking or comply with a legal requirement and you do not provide it, we may be unable to confirm or deliver the affected service.
6. Travel documents and sensitive personal information
Some trips require information that is more sensitive, such as passport details, health information, allergies, dietary requirements, disability or mobility needs. We request this only when reasonably necessary for reservations, entry requirements, safety or suitable service delivery.
Access is limited to people who need the information for the relevant purpose. We may share the minimum necessary details with a lodge, airline, guide, farm, activity provider, medical provider or other supplier involved in your trip.
Where processing depends on consent, you may withdraw that consent. However, doing so may affect our ability to provide a service that depends on the information. We will explain the practical effect where possible.
7. Children's and young travellers' information
Our website is intended for adults arranging travel. Information about a child or young traveller should normally be supplied by a parent, guardian or authorised organiser.
We may need a child's name, age, passport details, dietary information, medical or accessibility needs and emergency contacts to organise family, school or group travel. We use that information only for the booking, safety, legal and service-delivery purposes described in this policy.
We do not knowingly use children's personal information for behavioural advertising. A parent or guardian may contact us about information relating to a child in their care.
9. Marketing and communication preferences
Booking and service messages are not marketing. We may contact you about quotations, payments, itinerary changes, required documents, safety information, feedback or other matters necessary to manage your request or trip.
We send promotional messages only where we have an appropriate basis. Each electronic marketing message should provide a practical way to unsubscribe. You may also ask us to stop marketing at any time by contacting us.
Stopping marketing does not require us to delete booking, payment or correspondence records that we still need for legal, contractual, security or record-keeping purposes.
11. International transfers
Travel arrangements often involve suppliers, booking systems, cloud platforms or travellers located outside Kenya. Personal information may therefore be processed in another country.
Where an international transfer occurs, we aim to use a lawful transfer mechanism and reasonable safeguards appropriate to the information and destination. These may include an adequacy basis, contractual protections, consent where valid, or a transfer necessary for the requested booking or other permitted purpose.

12. How long we keep personal information
We retain information only for as long as reasonably necessary for the purpose for which it was collected and for legitimate legal, tax, accounting, safety, insurance, complaint and dispute-resolution needs.
Unconfirmed enquiries
Kept for a reasonable follow-up period, then deleted or anonymised unless further contact, consent or another valid reason applies.
Booking and financial records
Kept for the operational period and any additional period required for accounting, tax, legal claims and audit purposes.
Passport and sensitive trip details
Kept only while needed for reservations, travel, safety and related record requirements, then securely removed or restricted.
Marketing records
Kept while permission or another lawful basis remains valid, together with a minimal suppression record after an opt-out where necessary.
Retention periods may be extended where information is needed for an active complaint, investigation, legal claim or lawful preservation request. We may anonymise information so that it no longer identifies an individual and use the anonymised data for statistics or service improvement.
13. Information security and data incidents
We use reasonable organisational and technical safeguards designed to protect information against accidental loss, unauthorised access, misuse, alteration or disclosure. Measures may include controlled access, staff confidentiality, secure accounts, backups, malware protection, form safeguards, supplier review and restricted handling of sensitive documents.
No website, email service or storage system can be guaranteed completely secure. You should use trusted devices and networks, protect your email and booking accounts, and notify us promptly if you suspect that booking communication has been compromised.
If a personal-data incident occurs, we will assess it, take reasonable containment and recovery steps, document the response and make notifications where required by applicable law.

How to make a request
Send your request to reservations@farmersagrosafaris.com. Describe the right you wish to exercise and the enquiry, booking or communication involved. We may ask for information reasonably necessary to confirm your identity and protect the data from unauthorised disclosure.
We will respond within the period required by applicable law. A request may be refused or limited where a lawful exception applies, for example where information must be retained for a legal obligation, the rights of another person or the establishment, exercise or defence of a legal claim. Where appropriate, we will explain the reason.

We are not responsible for the privacy practices of an independent external service. Review its privacy information before submitting personal or payment details.
